Your organisation should ensure that all positions where a Disclosure has been requested are in line with the strict eligibility criteria and genuinely entitle you to ask an exempted question. It is a serious breach of the Rehabilitation of Offenders Act 1974 to request Disclosure for ineligible positions. If there is any doubt about the eligibility of a Disclosure, you should contact New Generation Services to clarify whether a Disclosure is appropriate.

2. How long does a Disclosure and DBS Adult First take? (FAQ List)
Applications for Disclosure typically take 4-6 weeks, although they may take longer. If an application takes longer than 8 weeks, you are entitled to ask the Disclosure and Barring Service to push the application though, usually by contacting the Police. New Generation Services will automatically do this for you on your behalf.
It is possible to request a DBS Adult First check for Health Care Assistant posts. The DBS Adult First check is an extra cost but allows applicants to start work before the full DBS Disclosure has arrived. DBS Adult First checks are guaranteed to take 48hrs-72hrs once the application form has been received by the Disclosure and Barring Service. Requests for DBS Adult First checks must be made at the application stage. (DBS Adult First replaces the ISA Adult First and POVA First)
Please follow DBS ID Checking Guidance on the gov.uk website www.gov.uk. Make sure application forms are sent to New Generation Services and NOT directly to the Disclosure and Barring Service. Please make sure ‘Section Y’ on the application is left blank. If there is any doubt with filling out the application you should contact New Generation Services.
Some job roles may require applications must be made prior to the post being filled by the applicant. ID Checks must be done face-to-face. Only original documents can be used;photocopies are NOT allowed
5. How do I check ID documents?(FAQ List)
The ‘List of Valid Identity Documents’ within our starter pack will help you but please follow CRB ID Checking Guidance on the GOV.uk website www.gov.uk. If there is any doubt about checking documentation you should contact New Generation Services.
6. Which ID documents are acceptable?(FAQ List)
The ‘List of Valid Identity Documents’ is enclosed with your Starter Pack but please follow CRB ID Checking Guidance on the GOV.uk website www.gov.uk; any documents used which are not on list will delay applications. Documents must be used in the correct combinationroute. There are 3 routes which you can use. If there is any doubt about which documents are valid you should contact New Generation Services.
7. What do I do if there I use a document that does not have a place on the form?(FAQ List)
DO NOT send photocopies of documents you have seen to New Generation Services with the application. Simply indicate which documents you have seen by writing a list down on a separate piece of paper.
8. What do I do if there is not enough space for 5 years address history?(FAQ List)
If the applicant has resided in more than three properties within the last 5 years you will need to supply a list of previous address on a separate piece of paper; remembering to include dates from and to in month and year format mm/yyyy.
9. My organisation is a charity and uses volunteers, do I still need to pay for a disclosure?(FAQ List)
A volunteer qualifies for a free of DBS charge using the following criteria: 'A volunteer is a person engaged in anactivity which involves spending time, unpaid (except for travel and other approved out of pocket expenses), doing something which aims to benefit some third party other than or in addition to a close relative.' Students who have to complete a period of unpaid work as part of their studies do not qualify asa volunteer; as the position is carried out primarily for their benefit and nota third party. There is a minimal administration charge for volunteer applications.
10. What happens if a member of staff disputes the data on the Disclosure?(FAQ List)
Please contact New Generation Services, who will in turn contact the DBS Disputes Department on the applicant’s behalf. Please give full details of the dispute along with the applicant’s details. Applicants may choose to raise a dispute directly with the DBS by contacting the Disputes Team.We would remind you that an informed and accurate recruitment decision can only be taken when the dispute has been fully resolved. 11. How should I store applications and Disclosures?(FAQ List)
Prior to destruction, Disclosures and Additional Information must be stored in a securely in a lockable,non-portable cabinet or container.
Applicants’ Personal Disclosures are their own property and they are free to use and keep them as they see fit. Employers copy of the Disclosure should only be kept for as long as necessary to
assess whether someone is suitable to be employed i.e. normally a few weeks. The DBS advise that they should not be kept for longer than six months unless in exceptional circumstances or where there is a legal requirement to show them to a regulator they can be kept for a longer period.
When using Route 2 an external ID validation check is required. An external ID validation check is an alternative way of verifying the identity of an applicant. It will involve you providing an applicant’s details (as presented on the application form) to your chosen external ID validation check supplier, who will compare the data you have obtained from the applicant against a range of independent, external data sources. The cost of this will depend on the supplier.
When using Route 2 you must include the PASS/FAIL result with your CRB Check Application. You must make sure that the supplier you are using complies with the standards set out in Level 2 (remote) of ‘HMG's Minimum Requirements for the Verification of the Identity of Individuals/Version 2.0/January 2003’, also that the supplier provides a straightforward PASS/FAIL result (some suppliers may return a score or a percentage, neither of which re acceptable) and the supplier providers a hard copy or printable result.New Generation Service can carry this external ID validation check for you.
